How to Process Refunds for Payflex Buy Now, Pay Later (BNPL) Transactions

Overview
Refunds for Payflex Buy Now, Pay Later (BNPL) transactions are processed directly from your Payfast Dashboard, just like with other payment methods.
Once submitted, Payflex handles the refund to your customer and communicates directly with them. This article explains how to process both full and partial refunds, how refund fees work, and what to keep in mind when managing BNPL refunds.

How to Process a Refund
To refund a Payflex BNPL transaction, do the following:
1. Log in to your Payfast Dashboard.
2. Navigate to Online Transactions.
3. Locate the transaction you’d like to refund:
a. You can use the search bar or filters at the top to find it quickly.
4. Click the three dots (⋮) next to the transaction.
5. Select “Refund Transaction.”
You’ll then be able to choose between a Full Refund or a Partial Refund.

Full Refunds
If you select Full Refund:
The system will automatically populate the full transaction amount.
Choose a reason for refund from the dropdown list.
Click “Refund Transaction.”

Note:
The first full refund is free; there are no refund fees charged for full refunds.
The refund will be processed through Payflex and credited back to the buyer.
Communication regarding the refund will be sent by Payflex directly to the buyer.
Important:
Notes
You must have enough funds in your Payfast wallet to cover the full refund amount before you can process it.
Partial Refunds
If you select Partial Refund:
Enter the amount you wish to refund.
Select a reason for the refund.
Click “Refund Transaction”.



Good to know:
The first partial refund on a transaction is free.
Any additional partial refunds after the first will incur a R4 fee per refund, which is charged to your account.
You must have sufficient funds in your Payfast wallet to cover the refund amount + R4 fee for the refund to process successfully.
You can process multiple partial refunds until the total refunded amount equals the full value of the original transaction.

⚠Note: Once a refund has been submitted, it cannot be reversed.

Refund Processing & Buyer Experience
Once you’ve submitted the refund:
Payflex processes the refund and credits it to the buyer’s Payflex account or payment method.
Buyers receive communication directly from Payflex confirming the refund.
Refunds will not reflect in the buyer’s Payfast wallet, as Payflex manages all buyer-side payment and refund processing.

The availability of refunds does not expire, but remember:
Refunds can only be issued if your wallet balance covers the refund (and any applicable refund fees).
Once submitted, refunds cannot be undone so ensure you confirm details before processing.
